Position Overview
The Medical Records Specialist will be responsible for requesting, tracking, and organizing medical records and bills related to personal injury cases. This role is essential to ensure timely access to accurate documentation that supports case development, settlement negotiations, and trial preparation.
Key Responsibilities
Prepare and send medical records and billing requests to healthcare providers, hospitals, and insurance companies
Track the status of outstanding requests and follow up regularly to ensure timely receipt
Review received records for completeness, accuracy, and relevance to each case
Maintain organized digital and physical files of all medical documentation
Communicate with case managers, paralegals, and attorneys regarding the status of records and any delays or issues
Ensure compliance with HIPAA and all applicable privacy regulations
Provide administrative support to the legal team related to medical documentation
Qualifications
Previous experience as a Medical Records Specialist, or in a law firm, healthcare office, or medical records department preferred
Entry-level candidates are welcome, but must be responsive and teachable
More experienced candidates are also encouraged to apply
Strong organizational skills with attention to detail and accuracy
Excellent written and verbal communication skills (English proficiency required; Spanish is not required)
Ability to handle confidential information with discretion
Proficiency with Microsoft Office
Experience with case management software such as File vine and Ring Central is a plus
Knowledge of medical terminology is a plus
Ability to manage multiple requests and deadlines in a fast-paced environment
