Virtual Assistant to Fintech CEO – Job Description

Role Overview
We are seeking a highly experienced, bilingual Virtual Assistant to support the CEO of a dynamic fintech company. The ideal candidate will have over 10 years of executive assistant experience, preferably in financial services, banking, fintech, or with major technology companies such as NCR. This role requires exceptional attention to detail, a strong commitment to delivering outstanding experiences, and proven skills in project coordination, social media engagement, and the latest productivity platforms.
Key Responsibilities
Executive Support
Manage complex calendars, travel, and communications for the CEO with precision.
Prepare meeting agendas, take detailed notes, and ensure timely follow-ups.
Handle confidential information with the utmost discretion.
Project & Platform Management
Coordinate data-driven and engineering project tasks using Monday.com to track deliverables and facilitate team collaboration.
Prepare reports, presentations, and project documentation using Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Liaise with internal and external stakeholders to ensure project alignment and timely execution.
Social Media & Brand Engagement
Draft compelling social media copy, schedule posts, and engage with audiences to boost the CEO’s and company’s online presence.
Monitor engagement metrics and recommend content strategies to maximize reach and impact.
Operational Excellence
Continuously refine processes to improve efficiency and the CEO’s workflow.
Conduct market research and analysis to support strategic initiatives.
Experience Management
Ensure all interactions reflect a high standard of professionalism and care, enhancing the CEO’s productivity and the company’s reputation.
Required Qualifications
Bilingual proficiency (English and Spanish).
10+ years of experience as an executive assistant, ideally supporting C-level executives in financial services, fintech, or large tech firms (e.g., NCR).
Demonstrated experience with Monday.com for project and task management.
Proven ability to craft engaging social media content and drive audience engagement.
Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Strong background in financial services, banking, or fintech.
Experience or knowledge of conscious leadership.
Excellent listener: able to provide 2+ behavioral examples using “I” statements, clearly articulating personal contributions.
A good follow-up question to assess this is: “What was your specific role/contribution in this scenario?”
Ability to think critically: comfortable with thought-provoking questions and assessing risk without being overly risk-averse.
High attention to detail, strong organizational skills, and ability to manage multiple priorities.
Excellent written and verbal communication in both languages.
Discreet, trustworthy, and adept at handling sensitive information.
