Job Summary:
We are seeking a professional and client-focused immigration Legal Assistant to join our team. This role requires frequent client interaction both in person and through various communication channels, including phone, email, and text. The ideal candidate will be detail-oriented, proactive, and have exceptional customer service skills. The Legal Assistant will be responsible for managing various client-related tasks while collaborating closely with attorneys, legal line managers, and other team members to support smooth case management and office operations.
Responsibilities:
\tClient Interaction:
o\tConduct in-person appointments with clients to discuss their cases, gather necessary evidence, and address inquiries.
o\tCommunicate with clients over the phone, via email, and text to provide updates, request documents, and respond to questions.
o\tProvide clients with important case updates, ensuring they are informed and engaged throughout the process.
o\tHand clients their critical documents, such as work permits, green cards, and other official paperwork.
o\tAssist clients visiting the office to make payments, drop off documents, or address concerns.
\tDocument and Case Management:
o\tCollect, organize, and upload evidence received from clients, both in person and electronically, into the appropriate client file.
o\tManage client notices by saving them to the case file and promptly sharing them with the client.
o\tPrepare cases for client review, ensuring all documents are complete and ready for final signatures.
o\tMaintain and update client files in accordance with internal protocols and compliance standards.
\tSupport and Coordination:
o\tCollaborate with attorneys, legal line managers, supervisors, and other department heads to ensure seamless case progression.
o\tCoordinate with clients and team members to meet deadlines and address urgent needs.
Qualifications:
o\tBachelors degree in related field; additional education or certification is a plus.
o\tBilingual: English/Spanish.
o\t2+ years of professional working experience.
o\tProven experience in client-facing roles, such as customer service, administrative support, or legal assistance.
o\tStrong organizational and multitasking skills.
o\tExcellent written and verbal communication skills.
o\tProficiency in MS Office and other office productivity tools.
o\tAttention to detail and problem-solving abilities.
o\tAbility to work independently and as part of a team.
o\tProfessional demeanor and strong interpersonal skills.
o\tComfortable handling sensitive and confidential information with professionalism and discretion.
o\tStrong organizational skills and attention to detail, with the ability to manage multiple tasks and priorities.
o\tAbility to work effectively in a fast-paced, team-oriented environment.
o\tProficiency in using case management or database software is a plus.
